Role description

As a Secretary I, you will assist the Probation Services Division with secretarial and clerical services of an ordinary and varied nature for one or more managers, and perform related duties as required. This position requires knowledge of Business English, spelling and basic math; and modern office methods, procedures and equipment. This position also requires ability and skill to follow oral and written instructions; plan, organize and complete work rapidly and efficiently; deal tactfully with the public; communicate effectively over the telephone; and operate a variety of standard office machines and equipment. This position requires the Secretary I to be on-site five days a week.

Examples of Important Duties and Essential Functions

1.        Takes and transcribes dictation from shorthand notes or transcribes from longhand or recorded dictation.  

2.        Types letters, reports, and other finished copy of a routine nature.

3.        Answers telephone and screen calls; serves as receptionist and schedules meetings and appointments. 

4.        Provides standard information to the public on policies, programs and procedures in accordance with general guidelines. 

5.        Files various material alphabetically, numerically and chronologically in accordance with predetermined file classifications. 

6.        Posts a variety of information on standard forms, records and files; performs clerical tasks relative to keeping financial and statistical records and accounts. 

How to qualify

Experience:
Ability to type 40 net words per minute.
One (1) year of verifiable, secretarial experience. Experience must have included composing, editing, and typing correspondence.

Substitution:
Two (2) years of verifiable clerical experience comparable to a 1424 Clerk Typist. Experience must have included typing correspondence, answering phones, and filing.
A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.

This is a Full-Time position exempt from the Permanent civil service process, serving at the discretion of the appointing officer. The duration of this position shall not exceed three years. Incumbents will be required to succeed in the civil service examination for this classification in order to be considered for permanent appointment.

CONDITION OF EMPLOYMENT:  All City and County of San Francisco employees are required to be fully vaccinated against COVID-19 as a condition of employment. Someone is fully vaccinated when 14 days have passed since they received the final dose of a two-shot vaccine or a dose of a one-shot vaccine. Any new hire must present proof of full vaccination status to be appointed. Any new hire who will be routinely assigned or occasionally enter High-Risk Settings, must provide proof of having received a COVID-19 booster vaccine by March 1, 2022, or once eligible.
