Role description

Under supervision, the 3610 Library Assistant performs general and varied non-professional library work. Examples of the essential functions of this class include but are not limited to:
•    Performing circulation duties, such as fines and fees resolution, check/in – check/out of physical and digital materials, processing inter-library loans, and hold processing
•    Performing registration duties using the Integrated Library Systems software, such as creating and accessing customer accounts, processing library applications, verifying application information, communicating library card usage policies and procedures, and assisting with quality control of library card applications
•    Providing information to and assisting the public with routine inquiries, such as directions and locations of library materials and device support and troubleshooting
•    Generating reports such as circulation reports, paging lists, clear hold shelf lists, daily cash reports and other related reports
•    Assisting with daily library operations, such as opening and closing procedures, drafting task schedules, submitting supply orders, and reporting facility problems as appropriate
•    Utilizing a computer or other appropriate resources to retrieve information and input data, assisting with data collection, archiving, digitalization efforts, and metadata tags, entering and submitting data, and assisting with various surveys, such as monthly door counts
•    Shelving and sorting books and other library materials according to the Dewey Decimal or other library classification system, by alphabetical, chronological or subject order
•    Performing physical processing of library materials including filing and processing new books, periodicals, newspapers and other materials, also includes contacting vendors and following up with appropriate personnel to reconcile missing materials
•    Performing routine book repair, such as Mylar replacement, relabeling, taping, and repackaging AV materials and weeding on condition as directed by a librarian
•    Under the direction of supervising staff, provide direction and coaching to Library Pages
•    Assisting outreach and with programming/event set-up and logistical and physical support such as confirming appointments, liaising with vendors, and coordinating with program lead; providing support during the programming/event
•    Related duties as assigned

How to qualify

MINIMUM
1. One (1) year (2,000 hours) of verifiable clerical experience in a library performing tasks equivalent to Class 3602 Library Page;
OR
2. Nine (9) semester or twelve (12) quarter units of college course work in library studies
Special Conditions:
1. Some positions in this class may require possession of bilingual skills. Eligibles who do not possess the designated skills will not be appointed to bilingual positions. A language proficiency test may be administered prior to appointment to these positions.
2. May be required to push, pull and lift with assistance objects weighing fifty (50) pounds or more.
Notes: Some positions in this class are subject to irregular work schedules and may require evening and/or weekend work; and require constant public contact. Positions in this classification may be required to work at various locations within the Library system.

What else should I know?

After application submission, candidates deemed qualified must complete all subsequent steps to advance in this selection process, which includes the following:

Minimum Qualification Supplemental Questionnaire (MQSQ): Candidates will be required to complete a MQSQ as part of the employment application. This MQSQ is designed to obtain specific information regarding an applicant's experience in relation to the Minimum Qualifications (MQ) for this position. The MQSQ will be used to evaluate if the applicant possesses the required minimum qualifications.

Library Assistant Multiple Choice Examination (Weight: 100%):
Qualified candidates will be invited to participate in a written examination designed to measure knowledge, skills and/or abilities in job-related areas which may include, but are not be limited to: knowledge of library systems, common library terminology, operations and practices such as Dewey Decimal Systems, author/title/subject headings, and call numbers. Customer/patron needs assessment, meeting quality standards for services, and evaluation of customer/patron satisfaction; ability to sort, file, and retrieve materials according to a filing scheme, including numerical, alphabetical, and chronological order; ability to read and follow written instructions; ability to use a computerized data system to access, create, update, and maintain computer files using word processing, databases, spreadsheets, email, and library related software programs, including the ability to prepare and generate detailed reports; maintain records and logs; and enter and retrieve data; ability to listen and effectively elicit information, to understand and follow oral instructions, and clearly communicate information to patrons, supervisors, and other library staff; ability to respond to inquiries from patrons, including inquiries regarding account management and the ability to interpret and explain library policies and procedures; ability to communicate in writing in a clear, concise and easily understandable manner. Candidates must achieve a passing score on the Examination in order to be ranked on the resulting eligible list/score report. The Examination is a standardized examination and, therefore, test questions and answers are not available for public inspection or review.
The score that you achieve on the Examination shall be valid and "banked" for three years, starting from the date of the examination. This means that, during this three-yeartime period, you will not be required to take this test again should you apply and be found eligible for a future announcement for which this particular test is used. If the test for this future announcement is held within 12 months of the date of this examination, your score will be automatically applied to that announcement. However, after twelve months, you have the option to either (a) apply your test score to the other announcement or (b) re-take the test. Re-testing is permitted no sooner than twelve months from the date of the examination and only in association with your eligibility for another announcement for which this test is used. Please note that, should you re-test, your re-test score would become your official score going forward since it is the most recent (even if it turns out to be lower than your original score).

Eligible List/Score Report: A confidential eligible list of applicant names that have passed the civil service examination process will be created, and used for certification purposes only. An examination score report will be established, so applicants can view the ranks, final scores and number of eligible candidates. Applicant information, including names of applicants on the eligible list, shall not be made public unless required by law. However, an eligible list shall be made available for public inspection, upon request, once the eligible list is exhausted or expired and referrals resolved. The eligible list/score report resulting from this civil service examination process is subject to change after adoption (e.g., as a result of appeals), as directed by the Human Resources Director or the Civil Service Commission. The duration of the eligible list resulting from this examination process will be of 12 months, and may be extended with the approval of the Human Resources Director.
