About:

The Fleet Management Department provides fleet services to over 70 City departments with a combined municipal fleet total of approximately 8,000 units and is responsible for asset management, maintenance and repairs, vehicle leasing, motor pools, fueling services, vehicle acquisitions and disposals, equipment specification writing, alternative fuel program, etc. The department operates six maintenance and repair facilities and maintains and repairs various types of vehicles and fleet equipment used for all types of work done by City employees.

Role description

The incumbent will work and train with a team of three other clerical staff in Fleet's Admin Office. 

Essential Functions include:

  • Collecting invoices from vendors
  • Distributing invoices to different staff for approval
  • Checking for validity or accuracy of invoices
  • Scanning and filing in a virtual system shared with the Accounting team downtown
  • Using the fuel management system and creating new fuel keys
  • Collecting and distributing mail items
  • Transferring data on paper into a digital format
  • Transporting documents from one location to another
  • Coordinating with vendors for vehicles that need tow service
  • Keeping inventory of office supplies and other supplies
  • Other duties as assigned

How to qualify

Possession of a current and valid California Class C driver’s license AND

Experience working with computer programs

Desirable Qualifications

Candidate should have a good driving record and be able to provide a DMV printout of their driving record at any time of the recruitment process and during appointment.
