Role description

Appointment Type: Permanent Exempt (PEX) Appointment. This position is excluded by the Charter from the competitive civil service examination process and shall serve at the discretion of the appointing officer.

The Senior Administrative Coordinator position functions as the Administrative and Operations Coordinator for OEWD.  The Senior Administrative Coordinator will be responsible for coordinating facilities management of OEWD offices and overseeing the activities and staffing of the City Hall services.  This position is also responsible for coordinating departmental implementation of policies and procedures such as the Language Access Ordinance and Zero Waste Program. 

The Senior Administrative Coordinator will work on daily assignments and must be able to prioritize tasks and take initiative and may be responsible for overseeing other administrative staff or subordinates.  This position is under general direction from the Chief Operating Officer. The Senior Administrative Coordinator will be responsible for the following responsibilities: 

  • Managing reception area at City Hall, ensures that reception area is staffed during operating hours.  Engaging with the public that may come to City Hall for meetings or inquiries. 

  • Managing the OEWD office spaces at City Hall, which includes workspace planning and assignment.  Providing support to OEWD offices located at 1 South Van Ness, and 49 South Van Ness. 

  • Coordinating with OEWD’s Administrative Staff throughout the organization. 

  • Coordinating conference room reservations and setup, which includes providing audio/visual service as needed. Assisting staff with securing other meeting spaces as needed.

  • Leading development and/or support management of OEWD Sharepoint Sites.  

  • Managing the requisition and receipt of office supplies, transportation tokens and access cards.  

  • Managing and/or supporting the response to Sunshine Requests. 

  • Coordinating the recycling of office paper and other waste products within City Hall space.  

  • Supervising the availability and functioning of office equipment including copiers, printers, and telephones.  

  • Assisting in planning and coordinating OEWD All Staff Meetings and Events.  

  • Assisting with the records retention and retrieval program.  

  • Assisting staff with audio-video system and other equipment function correctly for meeting 

  • Performing other related duties and projects as assigned. 

How to qualify

Minimum Qualifications

These minimum qualifications are to be used as a guide for establishing the education, training, experience, special skills and/or license which may be required for employment in the class.

Although these minimum qualifications are typical of the class, additional minimum qualifications and special conditions may apply to a particular position and will be stated on the job announcement.

1. Possession of a Baccalaureate Degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education or related fields, or other subject areas closely related to a specific departmental program or function; AND

2a. Three (3) years full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas;

Substitution: Applicants may substitute up to 2 years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
