Role description
Appointment Type: Temporary Provisional (TPV). This is not a permanent appointment. A provisional appointee must participate and be successful in a Civil Service examination for this classification and be selected through an open competitive process in order to be considered for permanent appointment. Provisional appointments may not exceed three (3) years.

Job Description and Special Conditions:
DUTIES & RESPONSIBILTIES
The Booking Supervisor is responsible for supervision of the team of booking managers engaged in booking and scheduling all performances, special events, and related activities on a multi-venue campus including Davies Symphony Hall, War Memorial Opera House, Zellerbach Rehearsal Hall, Herbst Theatre, The Green Room, and Wilsey Center. The Booking Supervisor reports to the Assistant Managing Director. Job duties include, but are not limited to:
- Working with booking team to ensure that all booking systems and policies are accurate, clear, consistent, documented, and remain current.
- Serving as first-resource to resolve escalated booking questions or conflicts.
- Managing and owning the department booking tool (Artifax), including serving as liaison with software creator on upgrades and required changes.
- Serving as coverage for open booking role(s) and during booking staff vacations or absences.
- Working with booking managers on long-term venue usage distribution across interested parties.
- Ensuring contracting process is executed with manageable lead-times.
- Managing relationship with Veteran's Building front-of-house staff, including scheduling and canvasing for hiring.
- Assisting in event settlement issues or conflicts; ensuring post event billing is completed on all events.
- Coaching booking managers to provide top-notch customer service to potential and confirmed licensees.
- Helping booking managers ensure effective and efficient use of the venue’s available dates, optimizing maximum use of the facilities.
- Facilitating division’s responsibilities under department’s Racial Equity Action plan.
- Coordinating ADA requests for venues and managing current compliance.
How to qualify
MINIMUM QUALIFICATIONS:
These minimum qualifications are to be used as a guide for establishing the education, training, experience, special skills and/or license which may be required for employment in the class.
Although these minimum qualifications are typical of the class, additional minimum qualifications and special conditions may apply to a particular position and will be stated on the job announcement.
- Possession of a Baccalaureate Degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education or related fields, or other subject areas closely related to a specific departmental program or function; AND
- Three (3) years full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.
Substitution: Applicants may substitute up to 2 years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
SPECIAL CONDITIONS:
3 years’ experience in Performing Arts Settings Management and Administration.
Requires three (3) years verifiable experience performing administrative and/or management functions in the area(s) of performing arts or theatrical facilities management, and/or programming and booking of cultural, theatrical or artistic entertainment presentations. Requires knowledge of business principles and practices connected with presentation of cultural, theatrical or artistic performances and the artistic and theatrical community.
DESIRED QUALIFICATIONS:
- Degree in theater management or public assembly management would be preferred.
- Experience supervising a small team of managers and administrative staff
- Ability to decipher theatrical riders and contracts, including technical theater terminology
- Experience working with event producers, agents, theatrical producers, and event staff
- Ability to employ conflict resolution strategies
- Experience managing employee scheduling and shift coverage
- Familiarity with ADA codes and requirements for public assembly venues
- Proficiency in MS Office Suite and standard office equipment
- Familiarity with Artifax and Staff Scheduling software a plus
