About the Office of Economic and Workforce Development (OEWD)

The Workforce Development Division of the Office of Economic and Workforce Development (OEWD) coordinates the San Francisco Workforce Development System, which is a network of public, private and nonprofit service providers that serve San Francisco job seekers and employers. OEWD strives to ensure that San Francisco has a qualified workforce that attracts, retains and expands industries, and enhances the quality of life in the City.

Role description

Appointment Type: Permanent Exempt (PEX) Appointment. This position is excluded by the Charter from the competitive civil service examination process and shall serve at the discretion of the appointing officer.

The Junior Management Assistant will report to the Management Assistant. The position will assist with implementation of OEWD’s systems, operations, the internal and external communication of Workforce programs and services, and provide administrative support across the Workforce Division.

The Junior Management Assistant will be assigned to the Operations & Administrative team to provide administrative duties throughout the Workforce Division, which include internal systems delivery, communications support, and the creation and implementation of workforce environment that allows the Workforce Division to thrive in serving vulnerable communities across the City & County of San Francisco.

Job Responsibilities:

The Junior Management Assistant will perform administrative duties for the Workforce Division at the direction of the Management Assistant. The Junior Management Assistant will interact with teams across the entire Workforce Division to deliver department-wide administrative, operational, and communications support.

Specific functions include (but are not limited to) the following:

Administrative:

  • Support the management of resources, the acquisition of equipment and materials, invoice and billing management, inventory control, and the usage of space
  • Assist with the setup and layout of workstations throughout the office by supporting cubicle configurations and coordination with the tech department for workstation repairs
  • Assist with the logistical planning of the Division’s Brown Act bodies – Workforce Investment San Francisco Board and the Committee on City Workforce Alignment – such as meeting set up, technical support for presentations, and preparation of meeting materials
  • Provide coverage of the front desk to greet the public, answer the main telephone line, and connect the public to resources

Workforce Division Culture/Environment:

  • Provide staff orientations for the new Workforce Division hires
  • Develop, support, and implement the department’s environmental and health & safety initiatives; disaster preparedness, food storage, kitchen maintenance, COVID protocols
  • Assist in connecting staff to human resource trainings

External Communications Support:

  • Draft and publish website content for all the teams across the Workforce Division
  • Deliver accurate and concise mass communication via email
  • Draft copy for promotional materials such as flyers, postcards, and presentations
  • Support communication team with graphic and layout design of promotional materials
  • Promote equity by making sure all Workforce Division events have language and disability access

Internal Systems Delivery:

  • Maintain existing internal communication systems
  • Update the calendar of events
  • Regularly interface with our Communications Team to support collateral, events, website, and content creation
  • Support the management of Public Service Trainee Program participants in the department

How to qualify

Minimum Qualifications

These minimum qualifications are to be used as a guide for establishing the education, training, experience, special skills and/or license which may be required for employment in the classification.

Education:

Possession of a baccalaureate degree from an accredited college or university.

Substitution:

May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

Desired Qualifications

  1. Experience providing administrative support in an office environment
  2. Experience developing content for public consumption

Abilities and skills to:

  • Work effectively with City staff, non-profit service providers, and workers
  • Manage time and workload appropriately
  • Effectively multi-task with competing priorities
