Role description

Under supervision, and in accordance with established policies and procedures, the Library Technical Assistant II performs various routine phases of technical library work; exercises work direction over subordinate personnel; and performs related duties as required. The Library Technical Assistant II explains and carries out established methods and procedures; makes regular contact with the general public, outside organizations and library personnel in connection with library operations and activities; and prepares and/or maintains various files and records. Essential functions of this class may include:

  • Supervising, training, and coaching subordinate personnel, clerical, support staff, and volunteers, and coordinating their assignments to meet department needs
  • Assisting patrons regarding library policies, procedures and directional information, and location of library material, including electronic resources
  • Searching for library materials; obtaining information from bibliographies, files, records, databases, and other sources
  • Assisting with daily library operations, completing ADA checklists, drafting desk schedules, serving as timekeepers, etc.
  • Creating customer accounts and completing transactions resolving fines and fees, checking in and out physical and digital materials, and processing requests for new books, additional copies, and other library material
  • Filing; preparing and/or maintaining various files and records; writing routine correspondence and incident reports; typing; receiving and recording money
  • Sorting books and preparing them for delivery to various locations, mailing, for discard, or bindery
  • Collaborate in the creation, preparation, and display of materials/resources
  • May drive bookmobile and assist librarian in serving bookmobile patrons
  • Performs copy cataloging; making proper entry of new serials; assigning Cutter numbers
  • Processing orders, serials, documents, and other library material
  • Inventorying the collection and checking shelves for proper placement of books may perform minor book repair and/or weeding on condition
  • Generating circulation reports, overdue notices, paging lists, clear hold shelf lists, daily and weekly cash reports and other related reports
  • Troubleshooting, operating, and providing assistance to patrons with library equipment, including microfilm machines, scanners, multifunction devices (e.g. copy machines), and other electronic devices
  • May create, maintain, and troubleshoot technical issues related to the Library’s website, intranet, and other electronic media systems
  • Related duties as required

How to qualify

The minimum qualifications are:

An Associate's degree from an accredited college or university with a major in Library Information Technology AND one (1) year of full-time verifiable experience in technical library work in the areas of technical services, circulation, cataloging and/or information services equivalent to the duties performed by class 3616 Library Technical Assistant I in the City and County of San Francisco; OR

Completion of a Library Information Technology certificate program from an accredited college or university AND two (2) years of full-time verifiable experience in library work, at least one (1) year of which must have included technical library work in the areas of technical services, circulation, cataloging and/or information services, equivalent to the duties performed by class 3616 Library Technical Assistant I in the City and County of San Francisco; OR

Three (3) years of full-time verifiable experience in library work, at least one (1) year of which must have included technical library work in the areas of technical services, circulation, cataloging and/or information services, equivalent to the duties performed by class 3616 Library Technical Assistant I in the City and County of San Francisco

Applicants must meet the minimum qualification requirement by the final filing date unless otherwise noted.

Special Conditions:
1. Some positions in this class may require possession of bilingual skills. Eligibles who do not possess the designated skills will not be appointed to bilingual positions. A language proficiency test may be administered prior to appointment to these positions.
2. May be required to push, pull and lift with assistance objects weighing fifty (50) pounds or more.
3. Some positions may require possession of a valid California Driver’s License.

Note: Some positions in this class are subject to irregular work schedules and may require evening and/or weekend work; and require constant public contact. Positions in this classification may be required to work at various locations within the Library system.

What else should I know?

After application submission, candidates deemed qualified must complete all subsequent steps to advance in this selection process, which includes the following:

Minimum Qualification Supplemental Questionnaire (MQSQ): Candidates will be required to complete a MQSQ as part of the employment application. This MQSQ is designed to obtain specific information regarding an applicant's experience in relation to the Minimum Qualifications (MQ) for this position. The MQSQ will be used to evaluate if the applicant possesses the required minimum qualifications.

Written Multiple Choice Examination (Weight: 80%): Candidates that meet the minimum qualifications will be invited to participate in a written examination designed to measure knowledge, skills and/or abilities in job-related areas which may include but not be limited to: knowledge of library procedures, reference aids, library terminology, electronic resources, software applications, basic web editing and design, office procedures, the role of a public and/or school library in the community; ability to lead supporting staff; attention to detail and accuracy, including money handling procedures, operate office equipment, ability to learn and deliver training and support to others for software, hardware, and electronic media; ability to problem solve, multitask and manage deadlines, ability to establish and maintain relationships, ability to deal courteously and effectively with others, ability to maintain records and file, retrieve, code and index data and information, ability to communicate in writing clearly and concisely; read, review, write, and understand information such as forms, documents, instructions, and/or reports in English; ability to understand, give, and follow oral instructions in English. 

If you also apply and meet the minimum qualifications for the 3616 Library Technical Assistant I recruitment, you will only be scheduled once for the Written Multiple Choice Examination.

Basic Supervisory Exam (Weight: 20%): Candidates will be administered a written multiple-choice examination that is designed to measure basic knowledge of various supervisory practices and procedures (e.g. directing, counseling, guiding, evaluating, motivating, disciplining, developing and training subordinates, delegation, etc.) as well as customer service and reading comprehension.

The scores that you achieve on the exams shall be valid and "banked" for three years, starting from the date of the examination. This means that, during this three-year time period, you will not be required to take this test again should you apply and be found eligible for a future announcement for which this particular test is used. If the test for this future announcement is held within 12 months of the date of this examination, your score will be automatically applied to that announcement. However, after twelve months, you have the option to either (a) apply your test score to the other announcement or (b) re-take the test. Re-testing is permitted no sooner than twelve months from the date of the examination and only in association with your eligibility for another announcement for which this test is used. Please note that, should you re-test, your re-test score would become your official score going forward since it is the most recent. A passing score must be achieved on both exams in order to be placed/ranked on the eligible list/score report. The hiring department may administer additional position-specific selection procedures to make final hiring decisions.

These exams are standardized examinations and, therefore, test questions and test answers are not available for public inspection or review. Candidate scores on this examination may also be applied to other announcements involving other job titles, when directed by the Human Resources Director.

Eligible List/Score Report: A confidential eligible list of applicant names that have passed the civil service examination process will be created, and used for certification purposes only. An examination score report will be established, so applicants can view the ranks, final scores and number of eligible candidates. Applicant information, including names of applicants on the eligible list, shall not be made public unless required by law. However, an eligible list shall be made available for public inspection, upon request, once the eligible list is exhausted or expired and referrals resolved. The eligible list/score report resulting from this civil service examination process is subject to change after adoption (e.g., as a result of appeals), as directed by the Human Resources Director or the Civil Service Commission. The duration of the eligible list resulting from this examination process will be of 12 months, and may be extended with the approval of the Human Resources Director.
