About:

The Real Estate Division is comprised of a team of over 220 full time staff delivering professional real estate services to a variety of clients. The Division completes appraisals and analysis of real property considered for City sale, lease, development or acquisition, and acts as a real estate consultant to Departments, the Mayor, and the Board of Supervisors.

We have responsibility for: Acquisition of all real property required for City purposes; Sale of surplus real property owned by the City; Leasing of property required by various City departments; Operations at the Alemany Farmers' and Flea Markets (100 Alemany), and UN Gift Gallery (UN Plaza); Custodial and engineering services for various City departments at over 60 different locations; Full service property management services to over 4,000,000 square feet of city-owned offices, including City Hall, 1 South Van Ness Avenue, 49 South Van Ness, San Francisco Police Headquarters, and the Hall of Justice.

Role description

The Executive Secretary/Office Manager (1844) will be located at Real Estate Division’s (RED) main office located at 25 Van Ness, #400, San Francisco, and will report directly to the Director of Property and the Deputy Managing Director for RED. 

Essential Duties:

  • Assists with management or administrative functions such as calendaring and filing legislation with the Board of Supervisors
  • Tracks, reports, and files mandatory reports
  • Manages main office resources, staffing, and operations, including making recommendations in changes in staffing, workload, schedules, and overseeing clerical & technical support, purchasing, billing, inventory control
  • Supervises the work of assigned administrative staff, provides necessary training, and fosters cooperation and teamwork amongst staff
  • Develops and recommends policies, procedures, and work practices for the office
  • Maintains contact and communication with other departments, directors, City Administrator’s Office, third parties, and the public as necessary.
  • Performs related duties as assigned 

Desirable Qualifications:

  • Executive confidential secretary or management assistant experience, including working for or with elected officials, handling confidential personnel matters, and handling confidential financial matters
  • Experience managing an office

How to qualify

Education:

Possession of a Baccalaureate Degree from an accredited college or university. AND

Experience:

Three (3) year full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution:

Applicants may substitute up to 2 years of required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
