Role description
Under general direction of Accounting Manager, this Technology Asset & Materials Coordinator supervises and coordinates the materials management activities related to technology projects, including but not limited to planning, ordering, receiving, storage and distribution of a wide variety of telecom and information technology supplies and/or equipment at multiple warehouse and storeroom locations within the Department of Technology (DT). The position also participates in the development and revision of departmental inventory management and asset management policies and procedures; implements and maintains an integrated computerized inventory control system and asset management systems.
Position Responsibilities
- Plans, assigns, supervises and reviews the work of subordinate staff engaged in the maintenance of inventory management records, determination of materials requirements, preparation of purchase requisitions, delivery orders, term purchases agreements and processing accounts payable documents; prepares periodic and special reports of unit activities.
- Confers with section or division managers and supervisors regarding material support operations, short or long range plans effecting supplies and usage; and adjusts or recommends necessary inventory, storage or reorder changes.
- Confers with departmental users and vendor representatives regarding service, product quality and durability, and purchase feasibility; implements systems for providing information to users on status of order; investigates and resolves user and accounts problems.
- Participates in product evaluation activities, including preparation of statistical information; may write item or service specifications; may prepare documents for major supply contracts.
- Evaluates inventory levels and reorder points by compiling and analyzing utilization statistics; advises management of significant transactions and trends; recommends changes in established targets when indicated; plans and directs annual and special inventories of supplies and equipment; and maintains a computerized inventory management information system.
- Participates in the development and implementation of departmental policies and procedures in conformance with departmental and City and County purchasing and storeroom policies; develops and implements internal distribution systems and security policy; regularly reviews existing systems and procedures, and recommends revisions as necessary.
- Selects and evaluates subordinate personnel; approves time sheet records; documents and makes recommendations on employee performance and discipline; identifies training needs and determines appropriate training programs.
- Project: Install, operate, and implement improved asset management system and workflows within ServiceNow software or other software tools. The position is responsible for the upgrade of system for tracking and managing our technology assets, including servers, desktops, laptops, telephones, tablets, City-owned cell phones, emergency radios, and maintenance items.
- Class 1942 will perform other duties, as assigned.
Job Type:
This Permanent Exempt - Full Time positions are excluded by the Charter from the competitive civil service examination process and shall serve at the discretion of the appointment officer. The anticipated duration of this project position is twenty-four (24) months and will not result in an eligible list or permanent civil service hiring.
Nature of Work:
Incumbent must be willing to work 40-hour week as determined by the department. Travel within San Francisco may be required.
The incumbent must be a resident of the State of California or be willing to relocate within 4 weeks of beginning employment with the City and County of San Francisco.
The City and County of San Francisco does not sponsor visas. If you have an F1 student visa, the City will not sponsor the “optional practical training” requirement. All applicants must be able to demonstrate that they are legally able to work in the United States without visa sponsorship by the employer.
Work Location:
Incumbent will conduct the majority of work at the Department of Technology, (200 Paul Ave, San Francisco, CA 94124). However, there may be situations where the incumbent will be required to work at other sites throughout the City of San Francisco as necessary.
How to qualify
Education: Possession of a baccalaureate degree from an accredited college or university with major college course work in computer science, public administration, economics, industrial engineering or a closely related field; AND
Experience: Three (3) years of verifiable experience in technical support operation, maintenance and management of a complex computerized inventory management system for stores of materials, supplies and equipment. The system must have included repetitive stock replenishment cycles. Two (2) years of this experience must have been at a supervisory level.
License and Certification:
Substitution: Additional qualifying work experience as described above may substitute for the required education on a year-for-year basis, up to four (4) years. One year (2,000 hours) of additional qualifying work experience will be considered equivalent to 30 semester units/ 45 quarter units.
Desired Qualifications:
- Minimum of one (1) year of supervisory experience
- Knowledge of voice and data network components
- Experience using ServiceNow or other asset management systems such as Infor EAM
- Inventory control
- Knowledge of Information Technology Infrastructure Library (ITIL) Asset Management (ITAM)
- Experience with building and managing asset management systems and software
- Analytical thinking and matrix management practices
- Experience reconciling data on large spreadsheets such as Excel
- Has valid CA driver license
