The San Francisco Department of Public Health's Kaizen Promotion Office is accepting applications for a full-time Temporary Exempt Senior Clerk (1406).

The 1406 Senior Clerk performs difficult, responsible and specialized clerical work. The key administrators this individual will work with are the Chief of Performance Excellence, the Director of the Kaizen Promotion Office, the Strategic Planning Manager and the Medical Director of the Kaizen Promotion Office. This will support the education and training involved in the implementation of the fellowship program and the coordination with multiple sites for the research collaborative

Working hours vary depending on location. Some positions may require working evening, night, weekend and holiday shifts.

Some positions are limited to 1,040 work hours in a year. Exempt employees are considered "at will" and serve at the discretion of the Appointing Officer. The qualified applicant pool resulting from this recruitment may be utilized to fill future exempt vacancies within the San Francisco Department of Public Health (DPH).

Role description

Under general supervision, the 1406 Senior Clerk performs the following duties:

  • Perform clerical work for administration within the Kaizen Promotion Office while exercising sound judgment and utilizes knowledge of applicable procedures in solving daily clerical and office problems. This may include calendaring, scheduling, room booking, class logistics planning, and workshop preparation. 
  • Provide communication with internal and external personnel. Some examples includes answering telephones, coordinating logistics for classes, seminars and workshops, and interacting with the Kaizen Promotion Office team.
  • Checks and reviews a variety of documents for completeness and accuracy related to the UC Berkeley CLEAR Research program. This role will also assist with grant completion documentation.
  • Files, maintains and retrieves documents, records and correspondence in accordance with established procedures. This includes training and education material related to the use of Lean methodology for the purposes defined within the fellowship objectives.
  • Compiles information and data necessary for the preparation of various departmental reports in which judgment may be exercised in the selection of data and materials.
  • Prepares and maintains a variety of reports in which judgment may be exercised in the selection of data and materials. This includes preparing data for presentations and also compiling data for the CLEAR research collaborative.
  • Participates in materials preparation for education/training programs and in the production of reports for both of the key objectives of the program. 
  • Operates office equipment, including calculators, photocopying equipment, computer terminals, and fax machines.  This includes processing mail: opens, time stamps, sorts and distributes the incoming mail; stuffs and seals envelopes; makes daily pickup and delivery to ensure timely mailing and receipt of mail.

The 1406 Senior Clerk also performs other related duties as assigned.

How to qualify

Minimum Qualifications (Required)

  • Two (2) years (equivalent to 4000 hours) of verifiable clerical experience included preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail; OR
  • Eighteen (18) months (equivalent to 3000 hours) of verifiable clerical experience as described in #1 and completion of a clerical training program (240 hours); OR
  • Eighteen (18) months (equivalent to 3000 hours) of verifiable clerical experience as described in #1 and 15 semester units (or equivalent quarter units) of coursework from an accredited college or university.

One year of full-time employment is equivalent to 2,000 hours (2,000 hours of qualifying work experience is based on a 40 hour work week). Any overtime hours that you work above 40 hours per week are not included in the calculation to determine full-time employment.

  • Intermediate to advanced knowledge of two or more Microsoft Suite applications, especially: Word, PowerPoint, OneNote
  • Working knowledge of email and office equipment 
  • Experience working with racially, socially, and economically diverse staff and community members, with attention to equity
  • Ability to learn and apply an advanced understanding of the organization and its functional policies and processes
