Role description
Under supervision, the Class 1406 Senior Clerk will provide clerical support on a rotating basis to groups of attorneys and legal secretaries in the City Attorney's Office. The City Attorney's Office has employees in two locations: 1390 Market Street, Fox Plaza (2 Blocks Away from City Hall) and City Hall. This position requires the work be performed in the office five days per week from 8:00 am to 5:00 pm (remote or telecommute work is not possible).
The position serves as the back up to the Reception Services, as well as, open and staff Main Reception at 8:00 AM on a daily basis in the City Hall or Fox Plaza office. This position also serves as a back up to Mail Services, which requires walking between the two buildings with a hand cart to drop off and pick up mail. This position receives a weekly schedule of assignments that may be performed in both locations. The assignments range from two to fours hours each and primarily consist of clerical tasks requested by support staff. This position may also assist with office wide administrative matters such as maintaining office supply rooms and stocking supplies. Teams in the City Attorney's Office may also on a project by project basis request assistance. This position requires going between the two locations of the City Attorney's Office; sometimes with carts of documents or mail. Duties require medium to heavy lifting of up to 40 pounds.
The duties associated with the position include but are not limited to: basic data entry; organizing documents by type and filing in appropriate files; assist with preparing files for close out and off site storage by creating file lists, labeling and lifting boxes of files; assist attorneys by copying and scanning documents; assist with projects on an as needed basis; sort mail and assist as back-up with mail delivery services; assist with preparing material for routine mailings; general filing; assist with stocking supplies in designated areas; and provide courier services of material between the two locations of the City Attorney's Office; assisting the public at the reception desk by telephone and public facing with visitors; implementing procedures when receiving incoming documents; supporting employees of the City Attorney's Office with conference room bookings, and other duties as assigned. The ability to speak Spanish and familiarity with legal documents is helpful, but not necessary.
Appointment Type: Temporary Provisional (TPV), limited to no more than 3 years in duration. This temporary position is excluded by the Charter from the competitive Civil Service examination process, is considered "at will" and shall serve at the discretion of the Department Head. This position will be subject to the Permanent Civil Service examination process. Successful participation in the Permanent Civil Service examination and selection through an open competitive process is needed in order to be considered for the permanent appointment.
How to qualify
MINIMUM QUALIFICATIONS
Experience: Two (2) years of clerical experience included preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.
- At least twelve (12) months of this experience must have been obtained while working in a legal office environment.
Substitution: Any one of the following may substitute for six (6) months of the required experience:
- Completion of a clerical training program (240 hours); OR
- 15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR
- Completion of an approved City and County of San Francisco Clerical Administrative training program (as designated on the job announcement).
Notes
- One year of full-time employment is equivalent to 2000 hours. (2000 hours of qualifying work experience is based on a 40-hour work week.) Any overtime hours that you work above forty (40) hours per week are not included in the calculation to determine full-time employment.

Desirable Qualifications
- Excellent interpersonal skills and communication skills, in person, telephone, virtual and in writing.
- Ability to be resourceful and proactive in dealing with issues that may arise.
- Proficient with computer data entry, Microsoft Office, Excel spread sheets and researching/accessing information to appropriately direct visitors/callers.
- Proactive and resourceful in addressing issues, trouble shooting, problem solving and de-escalating situations.
- Ability to multitask, organize, prioritize and work under pressure.
- Excellent judgment.
- Experience with clerical duties, data entry, filing, organizational and administrative tasks, and record keeping.

Selection Procedures
The selection process will include evaluation of applications in relation to minimum requirements. Applicants meeting the minimum qualifications are not guaranteed advancement to the interview. Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates. If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited to participate in the oral/performance interview.
