Salary Range: 87,386 - 106,184

Role description

Under general supervision of the Juvenile Probation Commission you will performs difficult and responsible office and secretarial work including but not limited to preparing agendas, drafting minutes, and assisting with scheduling meetings; serves as secretary to the Commission and its committees. The Commission secretary will performs a wide variety of difficult and sensitive secretarial and administrative work involving a high degree of responsibility for public contact with governmental officials, citizens and other employees; and performs related duties as required.


Examples of Important Duties and Essential Functions: 

1. Serves as Secretary to the Juvenile Probation Commission.  Prepares meeting agendas, minutes, resolutions, commendations, records meetings (audio & Webex video), post/trims audio/video meetings to website.

2. Maintains all JPC records, gathers materials, and prepares draft Commission reports as necessary.

3. Prepares and posts Commission actions and activities; coordinates Commission public events.

4. Collects, reviews, and assembles documents submitted to JPC by Departments; prepares supporting documents for budget item request as needed, in conjunction with CPO.

5. Maintains the Commission website through DTIS: post updated information on Commissioners, Commission meeting information, Full and Committee meeting notices, agendas, supporting documents and meeting minutes. -probation-commission.

6. Verifies accuracy of Commissioners on 311 database and document all changes made to that body on a quarterly basis regarding term dates (inception/expiration/number of terms) for the Centralized and Accessible Online Database of Appointments to Advisory Bodies (311). 

7. Maintains the following website through SFGovtv: meetings on Demand.  The Full Commission audio (and/or video) meetings are uploaded and trimmed through Granicus (City platform) and made available to the public.

8. Prepared Mayor’s Quarterly Attendance Reports for the JPC on a quarterly basis.

9. Processes Certificate of Appointment (Mayor’s Office); Appointment Processing Form; Notice of Appointment/Separation, Form 700, Sunshine & Ethics Training (Ethics Commission).

10. Oversight and management, which includes distribution and monitoring, of Commission compliance documentation: Statement of Economic Interest (Form 700; Sunshine Ordinance; Ethics Training; Filing Officer’s Report). Statement of Incompatible Activities and applicable training documents (e.g., Workplace Harassment Prevention Training).

11. Performs related duties and responsibilities as assigned.

How to qualify

These minimum qualifications are to be used as a guide for establishing the education, training, experience, special skills and/or license which may be required for employment in the class. Although these minimum qualifications are typical of the class, additional minimum qualifications and special conditions may apply to a particular position and will be stated on the job announcement.

1. Possession of a Baccalaureate Degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education or related fields, or other subject areas closely related to a specific departmental program or function; AND

2. One (1) year full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution: Applicants may substitute up to 2 years of required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. . One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

This is a part-time position (FTE. 5), permanent exempt under category 4, serving at the discretion of the JPD Commission. Incumbents will not be required to succeed in the civil service examination for this classification to be considered for permanent appointment.
