Role description

Under supervision, the Class 1406 Senior Clerk will provide clerical support on a rotating basis to groups of attorneys and legal secretaries in the City Attorney's Office. The City Attorney's Office has employees in two locations: 1390 Market Street, Fox Plaza (2 blocks away from City Hall) and City Hall. This position requires the employee work onsite in the office five days per week from 8:00 am to 5:00 pm (remote work is not possible).

The position serves as the back up to the Reception Services at the 1390 Market Street and the City Hall locations. This position also serves as a back up to Mail Services and other daily pick up functions, which requires walking between the two buildings with a hand cart to drop off and pick up mail or other items. This position receives a weekly schedule of assignments that may be performed in both locations. The assignments range from two to four hours each and primarily consist of clerical tasks. This position may also assist with office wide administrative matters such as maintaining office supply rooms and stocking supplies. Teams in the City Attorney's Office may also on a project by project basis request assistance. This position requires going between the two locations of the City Attorney's Office; sometimes with carts of documents or mail. Duties require medium to heavy lifting and pushing of up to 40 pounds. 

The duties associated with the position include but are not limited to:

  • Completes data entry
  • Organizes legal documents by type and filing in appropriate files
  • Assists with preparing files for close out and off-site storage by creating file lists, scanning documents and labeling, and lifting boxes of files
  • Organizes and scans a high volume of paper documents to convert to electronic storage
  • Assists with projects on an as needed basis
  • Sorts mail and assists as back-up with mail delivery services
  • Assists with preparing material for routine mailings
  • Completes general filing
  • Assists with stocking supplies in designated areas
  • Provides courier services of material between the two locations of the City Attorney's Office
  • Assists the public at the reception desk by telephone and public facing with visitors
  • Implements procedures when receiving incoming documents
  • Supports employees of the City Attorney's Office with conference room bookings
  • Completes other duties as assigned

Appointment Type:

Temporary Provisional (TPV), limited to no more than 3 years in duration. This temporary position is excluded by the Charter from the competitive Civil Service examination process, is considered "at will" and shall serve at the discretion of the Department Head. This position will be subject to the Permanent Civil Service examination process. Successful participation in the Permanent Civil Service examination and selection through an open competitive process is needed in order to be considered for the permanent appointment.

How to qualify

Minimum Qualifications:

Two (2) years of clerical experience included preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail

Substitution: Any one of the following may substitute for six (6) months of the required experience:

  • Completion of a clerical training program (240 hours); OR
  • 15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR
  • Completion of an approved City and County of San Francisco Clerical Administrative training program (as designated on the job announcement).

One year of full-time employment is equivalent to 2000 hours. (2000 hours of qualifying work experience is based on a 40-hour work week.) Any overtime hours that you work above forty (40) hours per week are not included in the calculation to determine full-time employment.

Desirable Qualifications: 

  • Familiarity with legal documents
  • Experience working in a law office

The stated desirable qualifications may be considered at the end of the selection process when candidates are referred for hiring.

Selection Procedures:

The selection process will include evaluation of applications in relation to minimum requirements. Applicants meeting the minimum qualifications are not guaranteed advancement to the interview. Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates. If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited to participate in the next stage of the selection process.
