Role description

The Senior Clerk Typist is the first point of contact at the Civil Service Commission. Under general supervision of the Deputy Director the Senior Clerk Typist, performs data entry and office clerical work of moderate difficulty in connection with the preparation and maintenance of a wide variety of operating, financial, purchasing, accounting and similar records related the policy work of the Civil Service Commission.

General duties include:

Independently compose letters, memos and email relative to routine office operations requiring knowledge of departmental operations and regulations, compile and condense data from various sources which requires an understanding of problems and terminology involved and relevant rules and regulations governing such activities, monitor budget by logging purchases for contracts, purchases and other office needs in a spreadsheet or ledger, may assist in budget planning, receive and communicate with the general public in connection with providing information of departmental activities and/or directs them to the appropriate staff. May receive and account for moderate amounts of money.

Receive, organize and file a variety of information and data in connection with the maintenance of office records, assemble materials and information from various sources relative to the typing of various documents and distribute to staff and/or the general public, check and review a variety of documents for sufficiency and conformance to established standards and requirements, operates various office machines, submit and track work order requests for building maintenance issues, purchase, inventory and monitor the use of office supplies.

Examples of key tasks include –

Respond to queries from the general public, community groups, labor unions and government officials regarding the policies, procedures and actions of the Commission; answer all calls to the Civil Service Commission main number and respond or triage appropriately; check all email to the CSC main email address log into the correspondence log and respond or triage appropriately; draft and process appeal letters to the departments and appellants; draft and transmit closing letters for appeals administratively resolved or withdrawn; collate the hard copy and post the e-version of the commission meeting viewing binder on the CSC website; prepare and send electronically notices of meeting, prior to commission meeting and notices of action, post commission meeting; prepare the schedule and deadlines for the commission meeting calendar, reserve Room 400 at City Hall for Commission meetings, coordinates the activities of personnel actions related to hiring and may include additional duties as assigned.

How to qualify

Experience:

Two (2) years of verifiable clerical experience including at least one year at a level comparable to a 1424 Clerk Typist. Experience must have included data entry, preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations. Working as a sales clerk or restaurant help does not qualify.

Substitution:

A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.
